AILG Facilities Committee Meeting 1/15/2020 8:00 am at FCI Office, MIT Student Center W20-020 Attendees: Larry Stabile, Scott Klemm, Pam Gannon, Tom Stohlman, David Lawrence, Ernie Sabine, Dennis Collins, Brad Badgley, and by phone Tom Holtey, Bob Ferrara, Peter Cooper Corrections noted for 12/18 minutes. Larry will revise posted version. BSF: Tom Stohlman reported pre-inspections starting in February. Hope to have Facility Director/BSF available to accompany Tom. UPS battery replacements nearly complete. FRSC: Phase 1 doors and egress, IRDF funding in hand. Issue RFP for Project Manager next week. Finalize by February 21. House Manager Training: Brad noted that training needed at alumni corp board level. Brad's HM meeting focuses on organizational responsibilities and runs one hour. Old HM training ran two days and covered system nuts and bolts. Now many students are away for IAP or in a lab course so multiday scheduling difficult. Director of Facilities might participate in HM training. Should create a user manual for each building, which would be a tool for DoF as well as HM. Dennis indicated that dorms post simple instructions on back of door on how to report problems. Subcommittee to move this forward: Brad, Ernie, Tom Stohlman. HVAC Survey by David Lawrence net yet ready to be launched. Director of Facilities Job Description: Larry changing to contract type language: DoF shall ... Add performance metrics. Trying to distinguish maintenance management, project management and BSF roles. Expect to go out to candidates by end of week. Larry will push through AILG Board. Have 3 candidates so far. Pam will route to sororities. Committee moved, seconded and voted to endorse the job description document. Revisions accepted through midnight 1/16.
