AILG Facilities Committee Meeting 10/7/2020 10:00 am via Zoom Attendees: Pam Gannon, Tom Stohlman, Tom Holtey, Ernie Sabine, Bob Ferrara, Josh Schuler, Patrick McCabe, Brad Badgley, Liz Jason, Dennis Collins, Scott Klemm, Peter Cooper In the absence of Chairman Larry Stabile, Tom Stohlman chaired the meeting. Moved, seconded and voted to approve September 9 meeting notes. Brad and Liz reported that PanHel recruitment was very successful. 181 bids made. All chapters made their recruitment quotas. First year students are eager to make connections. ILG recruitment moving forward. IFC elections will occur in October. Spring semester campus/virtual decision will be made and announced before Thanksgiving. Pam reported that reimbursements will be updated at AILG Board meeting. Scott and Josh reported for FCI: Boston FD inspections complete; 23 visited. Two were in bad shape for cleanliness and pests. Boston and Cambridge ISD status not yet known. Brookline has requested BSF report, which was provided. This is a one-time request; not expected to be routine. Property Management Program: 13 houses signed up so far. Wednesday noon open Zoom meetings attended by 3-4 people. Discussion of whether these should continue. Suggested that we recruit frequent participants to join Facilities Committee. Pam urged that contact list use AILG list and not be a separate list. Winter Guidelines draft discussed: Move Spring Occupancy bullet to be the last bullet. Add snow shoveling requirement. (Josh and Tom H. have shoveling service contacts) Daily walk-through of unoccupied building is required by insurance carrier. Add FCI offerings at the end. Contractors, workers, authorized visitors need to know requirements for masking, social distancing, etc. for protection of people living in the house. Undergraduates not allowed in the houses. SLI Spec./Dashboard comments: Discussed merging optional and required columns. Discussed adding Cambridge kitchen certificates: ServeSafe, Victualers, milk. Scott indicated that dashboard will be updated by end of today and American Alarm inspections by mid-next week. NEXT MEETINGS: November 4 and December 2 at 10:00 am. Notes by Peter Cooper
