AILG Facilities Committee meeting 3/11/2020 8:00am at FCI Office MIT Student Center W20-020 Attendees: Larry Stabile Tom Stohlman, Pam Gannon, Tom Holtey, Brad Badgley, Liz (?), Ernie Sabine, and by Zoom Bob Ferrara, Alex Pina, David Lawrence, Peter Cooper COVID19 Move Out: MIT has directed all to move out of FSILGs by Tuesday 3/17. Security of empty buildings is a concern. Moved, seconded and voted to have our chairman send request through AILG Board to request exemptions for 2 to 4 residents to remain in the building for security as approved by the building alumni corporation. Guests in the house discouraged. All FSILG events cancelled. Financial mitigation to be determined later. Dorms are providing prorated refund. Expectation for FSILGs probably similar. Summer rental determined later. Egress inspections and licensing process to be determined later. Daily trash/dumpster collection will be arranged during the move out. Alumni should focus on helping students with their move; can help distribute boxes for storage. Need schedule of any work, inspections, vendors expected. Brad needs local alumni point of contact for AILG list. Get food out of refrigerators/freezers. FRSC: Pam reported Phase I RFP got about dozen responses. Ordered to delay hiring. Will notify the first and second ranked candidates. Hope to do survey in 3-4 weeks. May do 2-3 pilot house to establish desired documentation. Director of Facilities: Have two good candidates. May try to jump the hiring forward to help with house surveys now. Seven FSILGs have committed to FM service. Pre-inspection will go on hold. HM training on hold. Survey OK to send out.
