Event Planning Assistance
The MIT Alumni Association has a wide array of tools and resources to help in planning your events, preferred caterer and venue listings. Here are some tips to get you started:
- Consult about your event. Schedule a meeting with Alumni Association staff during the preliminary stages of your planning. Staff can help start the registration process, recommend caterers and venues, and assist with event logistics such as room reservations, MIT tours, and student ambassadors to help staff your event.
- Create a timeline. The Alumni Association recommends planning for an alumni event at least 10-14 weeks prior to the event date. This is especially important where printed invitations or announcements are desired to ensure adequate time for print production, mailing, and tallying RSVPs.
- Consider fitness and recreation options. Many of your guests will want to work out while they are here. You can always organize group softball games or runs around the Charles River, or take advantage of MIT’s athletics facilities. The Zesiger Sports and Fitness Center has a full array of fitness machines, weights, squash courts, and a near Olympic-sized swimming pool. Day passes are $12 for adults and $7 for juniors or students.
- Publicize your event on the Alumni Association’s online calendar. The Alumni Association’s online calendar is a great way for alumni to learn about your event. Email the event information early.
- Find alumni speakers for your event. Search the Association’s Online Alumni Directory for career-advising volunteers listed as Institute Career Assistance Network (ICAN) advisors. The directory indicates those who are willing to speak at MIT events. Still no luck? Email us your speaker request.
Institute Annual Campus Events
- Alumni Leadership Conference
Every fall, the ALC brings together hundreds of active MIT volunteers and leaders from all over the globe for an annual weekend of workshops and networking hosted by the MIT Alumni Association. - Family Weekend
Family Weekend is a time for MIT families to discover MIT and an excellent opportunity for chapters to welcome their new students’ families. Usually held in late September or early October, it enables parents, siblings, and other relatives of current students to interact with faculty and administrators and to experience MIT culture firsthand. Many FSILGs hold receptions or events as part of the formal Family Weekend Program, offering light refreshments and tours. - Campus Preview Weekend
Every April, this event brings hundreds of prospective freshmen and their parents to campus to get a feel for MIT. Weekend events include student and living group-hosted activities designed to help prefrosh learn more about MIT student life. - Reunion weekend and Commencement
More than 3,000 alumni and guests return to Cambridge each year in early June for Tech Reunions , a four-day event held in conjunction with MIT’s Commencement. FSILGs are encouraged to host chapter activities during this period and to have them listed in the Tech Reunions registration booklet.
